All Formal Production Meetings

As I am the Production Manager of the TV show, it is my job to take notes on all the meetings. Below are the notes in which I take from the meeting I am involved in which are timetabled:

Production Meeting 1 - 27.01.17, 10.30am


Roles were assigned:

Things needed to be done by Tuesday 31st January:
VT people - come up with the ideas for VTs
Graphics - have some ideas to present to us


Also - the budget for the show is £30 each - can I please have that by Friday 3rd February in cash.

Also, please let me know when you are having your work placements so I can make adjustments to the schedules


Production Meeting 2
Changes done to show:
Round 1: buzz in to answer questions = intense, more questions, excitement
Round 2: ‘Audition Fails’ - silent movies are now 3
Name That Theme: copyright is covered


Trivia VT: (after round 2)
  • Competition element
  • Time has been extended  


‘Pin the Award’: instead of faces it is now names = names are harder to remember


‘I ain't afraid of no host’ = GONE
  • No longer a VT
  • Host goes out into audience to ask questions, but actually goes into gallery where the crew is in fancy dress. CREW WILL BE INVOLVED


SET design changes
  • More glamorous and glittery
  • No more L.A. Skyline
  • Large cinema screen


VTs
  • Casting Call: Use objects that aren’t obvious = harder
  • Face swap: e.g. someone dresses up in props - when he takes them off each item of clothing is from an actor
  • Silent movies: catwoman, lion witch and the wardrobe; would be good ones
  • Name that Theme:
  • Trivia VT: jump cut style


Maybe just keep first two VTs
  • Get rid of silent movies, name that theme

Production Meeting 3 - 10.02.17
Updates:
  •  Round 4 has changed: 8 boxes instead of 6, contestant with most points gets a head start, 5 minutes long 
  • Style Bible available 
  • Steve is now Norman 
  • Monologue is gone, only 2 jokes 
  • CAFT meeting went well 
  • new script, round breakdown, running order updated

Production Meeting 4 -

Round 3 is finalised - American Pie in your face!! - test it out and see how long it takes to clean up

Explain issues with host to everyone: non responding! PIERS HUNT HAS DROPPED OUT - ADIOS AMIGOS!

Who is working on what VT (call sheet):
Trailer: Ellie, Josh B, Troy, Sammi (Laura)
Mockumentary: Saskia, Josh B, Troy, Sammi (Rosie)
Trivia: Saskia, Josh B, Troy, Sammi (Laura and Rosie together)

When are the VTs being filmed? (VT Producer to make Normans call sheet)

Outfit for host:
Trendy - shirt and jeans= casual/formal

Contestants!? - have applicants that fit - set a deadline to find applicants and a deadline for auditions - not red shirt

Audience?! - can park in parking - arrive at 14:00

Warm up Act?! - comedian, adult magician, ask previous guy from last year

Articles for website: list will be uploaded, if anyone wants to write one please do it will be helpful, upload it onto the website and if any pictures  have been used send link as well for that picture.

Start at 14:30

Charity going for = Making Miracles Rochester (tickets are free, there will be buckets going round so audience can put money in if they want).

VTs must be saved on a memory stick that is PC compatible.

First Year stand in for 21st - 5th, (contestants), 6th (contestants)
Speak to Trinna for VT operator (21st, 28th, 5th, 6th) Set change from round 3-4 is BIG! 1.30 (1min set up round 3)

Production Meeting 5


VTs have all been shot - rough cuts are ready (Some of Trivia has to be filmed on 28th) - viewing with just VT group  

Contestants - Audition is on Friday (all boys)

Warm Up Act - he was paid last year so consider that  budget wise

Website - goes live today with tickets and trailer - blogs and articles are included in it - about charity, celebs

Issues:
  • More articles: film reviews (via Sam, Nisserin and Ellen)

Trailer is done = 1 minute (director has seen it)
Opening Titles = filmed and is now being edited = 30 seconds with 9 second buffer
Social Media = facebook and twitter is going good

Rehearsals = Del is happy, graphics and sound effects were ready so thats good, for the 21st rehearsal we want to be able to do a whole run through

Set = has been designed and is in the process of being made, it will be more red
Trying to find someone to sponsor for free popcorn to give to the audience

Lighting still needs to be worked on in our time with Del

Script - new version available - round 4: both contestants play the game but at different times - it is now a timed round (person who wins it in the quickest time gets 10 extra bonus points) not boxes any more (Development) Round 4 had 5 minutes which is too long which is why it has been split up. That game is still unfair so now they all have same chances

Stand In - Wez, Harry and Adele for 21st but will need 1st years for the 28th

Budget - agreed that £5 is needed from everyone because not enough money to pay everyone

Audience - tickets go live today - done through social media (55 tickets are available)

Production Manager make risk assessment for rig and shoot day

Sound is GOOD - buzzer is being made


Production Meeting 6


New contestants have to be found - one girl! Look at Helen Welsh.


Lighting plan - aware where everything is going but need to figure out where they are needed in the area of the studio


Make up artist - no one, someone from uca - as long as they do not shine


Flooring - no response from uca team - email them and find out so we can ask Sammi if we can have hers


Make sure we know which dress rooms we have and who will be assigned to it.


Josh mum - will bring water container to give out - and get snacks for people in dressing room


Everyone has to pay for vt - £20 (£2 each)
